Privacy & Terms

We're straight up about how we handle your info. No corporate mumbo-jumbo here - just honest talk about keeping your data safe while you crush your fitness goals.

Last Updated: October 31, 2025

Look, we get it - privacy policies usually read like they're written by robots. Not here. At Myth Ravenfort Fitness, we're real people who genuinely care about protecting your personal info while helping you forge your legend.

This policy covers everything from what we collect when you sign up, to how we keep your data locked down tighter than a barbell in a squat rack. We're based in Vancouver, BC, Canada, which means we follow Canadian privacy laws including PIPEDA (Personal Information Protection and Electronic Documents Act).

By using our facility, booking sessions, or just browsing our site, you're agreeing to this policy. If something doesn't sit right with you, hit us up at info@mythravenfort.info and let's talk about it.

Personal Details

When you join our tribe, we'll need the basics: your name, email, phone number, home address, and date of birth. Nothing weird - just standard stuff so we can reach you about your membership and sessions.

Health & Fitness Info

Here's where it gets specific. We'll collect info about your fitness goals, any injuries or health conditions we should know about, current fitness level, and any dietary restrictions if you're working with our nutrition coaches. This isn't us being nosy - it's so we don't accidentally program burpees for someone with a bad knee, you know?

Payment Information

We need your payment details for memberships and sessions. We use encrypted payment processors, so we don't actually store your full credit card info on our servers. That stuff stays with the payment companies who specialize in keeping it secure.

Workout Data

We track your session attendance, workout performance metrics (weights lifted, times recorded, reps completed), and progress photos if you choose to share them. This helps us see how you're progressing and adjust your programming accordingly.

Technical Stuff

When you visit our website, we collect standard internet things like your IP address, browser type, device info, and how you navigate around the site. Pretty standard web analytics stuff that helps us make the site better.

Running Your Membership: We use your info to manage your account, process payments, schedule sessions, and handle all the day-to-day stuff that keeps your membership running smooth.

Personalizing Your Training: Your health info and workout data helps our trainers build programs that actually work for YOU. We're not about cookie-cutter routines here - everything's customized based on what you've told us and how you're performing.

Keeping You in the Loop: We'll send you emails about class schedules, gym updates, maintenance closures, and occasional tips from our coaches. If you don't wanna hear from us marketing-wise, you can opt out anytime - but you'll still get the important operational stuff.

Making Things Better: We analyze aggregated data (not your specific info) to see what programs are working, what class times are most popular, and how we can improve the overall experience.

Legal Compliance: Sometimes we gotta use your info to comply with Canadian laws, respond to legal requests, or protect our rights and safety (and yours too).

Emergency Situations: If something goes wrong during training, we need your emergency contact info and health details to get you proper care quickly. Safety first, always.

We're not in the business of selling your data. Period. But here's who might see it:

Payment Processors: Companies like Stripe or Square handle transactions. They get what they need to process payments securely.

Email Service Providers: We use email platforms to send you updates and communications. They process emails but don't own your data.

Cloud Storage: Your info is stored on secure cloud servers in Canada. These providers are bound by strict security agreements.

Insurance Companies: Only if there's an incident requiring a claim. We'll only share what's legally necessary.

Legal Authorities: If we're legally required to - like a court order or warrant - we'll comply with Canadian law.

Business Transfers: If Myth Ravenfort Fitness is ever sold or merged (not planning on it!), your data would transfer to the new owners, but they'd still be bound by this privacy policy.

We take security seriously - like, Olympic weightlifting seriously. Here's what we do to protect your data:

  • Encryption: All data transmitted to and from our site uses SSL/TLS encryption. That's the padlock you see in your browser.
  • Secure Storage: Your data is stored on servers with enterprise-grade security, regular backups, and restricted access.
  • Access Controls: Only authorized staff who need access to do their jobs can view your info. Everyone's trained on privacy practices.
  • Regular Updates: We keep our systems updated with the latest security patches and protocols.
  • Physical Security: Paper records with personal info are kept in locked cabinets at our facility.
  • Password Protections: We require strong passwords and encourage two-factor authentication where possible.

That said, no system is 100% bulletproof. We do our absolute best, but if there's ever a breach, we'll notify you ASAP as required by Canadian law.

Under Canadian privacy law, you've got rights. Here's what you can do:

Access Your Data: You can request a copy of all the personal info we have about you. We'll provide it within 30 days, usually for free.

Correct Inaccuracies: If something we have on file is wrong, let us know and we'll fix it. This is especially important for health and contact info.

Delete Your Data: Want us to erase your info? We'll do it, except for stuff we're legally required to keep (like financial records for tax purposes).

Opt Out of Marketing: Don't wanna get our promotional emails? Click unsubscribe or tell us directly. You'll still get important account-related messages though.

Withdraw Consent: If you've agreed to something specific (like sharing progress photos), you can change your mind anytime.

File a Complaint: If you think we've mishandled your data, you can complain to the Office of the Privacy Commissioner of Canada. We'd prefer you talk to us first so we can make it right.

To exercise any of these rights, shoot an email to info@mythravenfort.info or come chat with us at the front desk.

Our website uses cookies - not the protein kind, unfortunately. These are small text files that help the site work better.

Essential Cookies: These keep you logged in and make the site function properly. You can't really opt out of these without breaking stuff.

Analytics Cookies: We use tools like Google Analytics to see how people use our site - what pages are popular, where people get stuck, etc. This is aggregated data, not tracking you personally.

Marketing Cookies: These help us show relevant ads if you visit other sites. You can disable these in your browser settings or opt out through our cookie banner.

Managing Cookies: Most browsers let you control cookies through settings. Just know that blocking all cookies might make our site harder to use.

We don't use any sneaky tracking stuff or sell cookie data to third parties. It's strictly for improving your experience on our site.

Alright, here's the deal on using our facility and services:

Membership Requirements

You gotta be at least 16 years old to have a membership. Anyone under 18 needs a parent or guardian to sign off. We reserve the right to refuse service to anyone, though we're not in the habit of turning people away unless there's a good reason.

Payment Terms

Memberships are billed according to your chosen plan - monthly, quarterly, or annually. Payments are due on your billing date, and if a payment fails, we'll try again. After multiple failed attempts, your membership might be suspended until payment is received. No refunds on partial months, but we're reasonable people - talk to us if you're having issues.

Cancellation Policy

Wanna cancel? Give us 30 days' written notice. You can email, write a letter, or tell us in person (we'll need it in writing though). You're responsible for dues until the end of your notice period. If you've prepaid for personal training sessions, we'll work out a fair refund for unused sessions.

Facility Rules

Keep it respectful. Re-rack your weights (seriously, this one's important). Wipe down equipment after use. No dropping weights unnecessarily - we've got bumper plates for a reason. Appropriate athletic wear required. No harassment, discrimination, or generally being a jerk to other members or staff.

Personal Training Sessions

Cancel or reschedule at least 24 hours in advance, or you'll lose that session. We get that emergencies happen - just communicate with us. Sessions expire 90 days from purchase unless we've worked out a different arrangement.

Suspension & Termination: We can suspend or terminate memberships for violations of these terms, non-payment, or behavior that threatens safety or disrupts others. We'll try to work things out first, but serious violations might result in immediate termination without refund.

Real talk: High-intensity training and Olympic lifting aren't without risk. You're pushing your body, lifting heavy stuff, and moving fast. That's kinda the point, but it also means injuries can happen.

Assumption of Risk

By training with us, you acknowledge that physical exercise carries inherent risks including but not limited to: muscle strains, sprains, fractures, cardiovascular stress, and in rare cases, more serious injury or death. You're voluntarily participating knowing these risks exist.

Medical Clearance

You confirm that you're physically capable of participating in our programs. If you have any health conditions, you've consulted with a doctor and got clearance. It's on you to disclose any medical conditions that could affect your training - we can't help if we don't know.

What We're Not Liable For

We're not responsible for injuries that result from your own actions, failure to follow instructions, or not disclosing health conditions. We're also not liable for lost or stolen property - keep your valuables locked up or at home.

What We ARE Responsible For

We maintain our equipment properly, keep the facility safe, and our trainers are certified professionals. If an injury results from our negligence - like faulty equipment we knew about or improper instruction - that's on us, and we'll take responsibility under Canadian law.

Emergency Protocol: In case of injury, we'll provide immediate first aid and call emergency services if needed. By providing your emergency contact info, you authorize us to contact them and make decisions in your best interest if you're unable to do so.
